Sample of Business Travel Requirements for a Russia Visa for Canadian Citizens

  1. Passport

    You must provide your actual signed passport, including one copy of the personal information pages of your passport. Your passport must:

    • Contain at least two blank visa pages for the visa stamp
    • Be valid for six months beyond the validity of your requested visa

  2. Photographs

    You must provide one colour, passport-type photograph. The Consulate of Russia enforces strict requirements for facial expressions shown on the photographs. The photograph must:

    • Show your face centered in the middle of the photo and square to the camera with your hair away from your face and not encroaching the photo borders
    • Show no sunglasses
    • Show the full front view of your head, including the top of your shoulders and head
    • Show a neutral expression on your face, neither frowning nor smiling, with your mouth closed
    • Have a white background
    • Be printed on photo paper
    • Be 35mm by 45mm
    • Have been taken within the last six months

  3. Business Introduction Letter

    A letter of introduction from your Canadian based company is required. Your completed introduction letter must:

    • Be printed on your company’s official letterhead
    • Display an original signature
    • Specify the number of entries requested
    • Include the dates and length of your stay
    • Include the validity of your requested visa

  4. Russia Business Invitation Letter

    You must obtain an official Russian Business Invitation Letter to travel to Russia.  The organization you are visiting in Russia is responsible for obtaining the invitation from the Russian Ministry of Foreign Affairs.  The letter must:

    • Include the dates and length of your stay
    • Include the full local address of the organization you will be visiting
    • Specify the number of entries and duration of validity that you are requesting in your visa application

  5. Photocopy of All Application Materials

    You must provide photocopies of all items that you submit to VisaCentral, including a copy of the information page of your passport. If you prefer that VisaCentral make photocopies for you, additional fees will be applied to your order.

  6. Visa Application Form

    The Russian Embassy has instituted a web-based visa application form. The application must be completed online by all travelers, and can be found at https://visa.kdmid.ru/. This application, hosted by the Russian government, may take up to an hour to complete and requires very detailed information. Please read the VisaCentral Russian Visa Application Guide included in this kit before you begin the online Russia visa application form. Your visa request cannot be processed if you do not complete the application form online. Your completed application must:

    • Provide answers for all fields (handwritten changes are not accepted)
    • Include your name as it appears in your passport
    • Include the institution or organization in Russia to be visited
    • Be signed inside the box found directly below the section where we will attach your photograph
    • Be printed double-sided

  7. VisaCentral Order Form

    You must provide one completed VisaCentral Order Form. The form must:

    • Include a valid email address and payment information
    • Include your signature in blue or black ink

  8. Former Soviet and Russian Citizens

    Russian law stipulates that citizens of the Russian Federation must travel on valid Russian documents regardless of any other citizenship. All former citizens of USSR, or citizens that immigrated from the Soviet Union or the Russian Federation before February 6th, 1992 must submit one of the following documents confirming that they are no longer citizens of the Russian Federation:

    • "Visa to Israel" or "Permanent residence abroad" stamp
    • Official document certifying that their Russian citizenship was renounced or photocopy of USSR passport
    • All applications requiring proof of renounciation must be accompanied by a cover letter stating the date that you renounced your Russian citizenship
    • You must also provide a copy of your Landed Immigrant Papers.  These are documents that were provided when you arrived/landed in Canada

    If the aforementioned documents arer not submitted, applications cannot be accepted or processed.

  9. Frequent International Travelers

    The Russian Consulate in Toronto requires that you list every country that you have visited in the last ten years on your application.  They will inspect your passport for all stamps. If you exceed the number of spaces available on the online application then attach a separate paper with the extra destinatons listed.

  10. Optional Form Fill Service

  7. Russian Tourist Visa Support Letter

    A Russian Tourist Visa Support Letter is required. VisaCentral can provide you the Visa Support Letter if your tour/cruise operator or hotel cannot do so. Please complete the attached request form along with all other visa requirements.

     

    If you are providing your own Visa Support Letter then ensure that your Letter is accompanied by the confirmation page showing that your Russian host or hotel is registered with the Russian Ministry of Foreign Affairs.

  8. Minors Traveling to Russia

    Please note the following requirements for minors only:

    • Copy of the long form birth certificate, which must list both parents full names
    • Photocopy of the picture page of both parents passports must be included
    • If only one parent is traveling with the child, the parent not traveling must provide a notarized letter explaining that they authorize the child to travel with the other parent only.  If no parents are traveling with the child, both parents must sign the notarized letter and provide details regarding who the minor is traveling with
    • Both parents must sign the application form as well as the authorization letter

    You will also be required to present:

    • Copy of the minors long form birth certificate, which show both parents full names
    • Copy of the picture/information page of both parents passports, as well as the notarized consent letter mentioned above
    • The form must be signed by the Mother, both parents can sign but if only the Father signs the form will not be accepted

  9. Cruise Passengers

    Travelers embarking on a cruise while in Russia must provide a copy of their cruise itinerary.

  10. Entry Date Into Russia

    There must be a minimum three-business day gap between the issue date of your visa and your actual entry to Russia. Please plan and apply for your visa accordingly as you will not be allowed entry to Russia without this gap.

     

  11. Double Entry Visa Applicants

    Double-entry visa requests must be accompanied by a copy of your travel itinerary. These visas will only be granted to those who will be exiting to and entering from continuous neighboring countries: Finland, China, Estonia, Latvia, Belarus, Ukraine, Georgia, Kazakhstan or Mongolia.

    Single- and Double-Entry visas to Russia are valid for up to 30 days if obtained in Canada.  Exceptions may be granted by Russian authorities but will require pre-arrangement of an exemption to the 30 day rule.

  15. Letter of Intent--Double Entry Only

    Visa applicants requesting double entry visas must provide a letter of intent. This letter must:

    • Include your full name as it appears on your passport
    • Indicate the purpose of your visit
    • Indicate the your expected dates of travel

  16. Hotel Confirmation

    You must provide proof of hotel accomodations for stays longer than 2 weeks. Details of your hotel accomodations must include both of the following:

    • A confirmation of your hotel reservation provided directly from the hotel
    • Proof of payment for your hotel confirmation
